What they do

Forest Cooling design, install and maintain air conditioning and refrigeration systems. The work itself happens on site. The paperwork is what held everything up.

Every job needs two documents before a quote can go out: a risk assessment and a priced quotation. Both were being put together by hand, usually by opening the last similar one and editing it. That takes an engineer or an estimator off the tools for an afternoon, and it's why quotes were sitting in a queue for days.

What we built
  • An agent that drafts the risk assessment from the job details and site conditions, with the hazards that actually apply to that installation.
  • An agent that builds the priced quote from the scope, using Forest Cooling's own rates and equipment list.
  • Both of them work off the firm's own job history, so what comes out looks like the way Forest Cooling price and assess work.
What changed

Quotes go out the same week as the visit. And the risk assessments get done properly even when the diary is full, because writing one no longer costs somebody an afternoon.

Who signs it

The agents draft. A qualified person still reads both documents and signs them. A risk assessment is a professional judgement and it stays one — what's gone is the typing.
