Information We Collect

When you use MyAgentFactory, we may collect the following information:

• Account information — name, work email address, company name, and coupon code (if applicable)
• Credentials — password (stored securely via AWS Cognito)
• Technical data — IP address, browser user agent, and basic telemetry for service reliability
• Content you provide — meeting recordings, transcripts, documents, and other materials you upload for processing
• Enquiry and assessment responses — where you complete the AI Readiness Check or a contact form, we store your name, work email, company name, and the answers you gave. Readiness Check answers include commercial information about your business, such as turnover band, headcount, sector, and where you feel operational pressure

How We Use Information

• Creating and managing your account
• Providing access to MyAgentFactory services
• Processing your content (transcription, AI analysis, exports)
• Providing customer support
• Maintaining service reliability and security
• Preventing fraud and abuse
• Preparing for a conversation you have asked for — if you complete the AI Readiness Check, we read your answers before speaking with you so the discussion starts from what you told us rather than from questions you have already answered

Legal Basis and Retention

We process your data based on:

• Service delivery — processing necessary to provide the services you've requested
• Legitimate interests — improving our services, security, and fraud prevention
• Legal compliance — where required by applicable law

We retain your data for as long as your account is active or as needed to provide services. You may request deletion at any time.

Enquiry and AI Readiness Check responses are processed on the basis of legitimate interests — responding to an enquiry you initiated. We keep them for 24 months from submission, after which they are deleted. We do not sell them, and you can ask us to delete yours sooner at any time.

Cookies and analytics

We use Plausible Analytics to understand which pages people read and where visitors come from. Plausible is privacy-friendly by design: it sets no cookies, collects no personal data, does not track you across websites, and never builds a profile of you. Data is aggregated and held in the EU.

Because nothing is stored on your device and no personal data is collected, there is no cookie banner to accept or decline — there is nothing to consent to.

Sharing and Processors

We do not sell your personal data. We use trusted third-party service providers for:

• Infrastructure and hosting (AWS)
• Authentication (AWS Cognito)
• Email delivery
• AI model inference (OpenAI, Anthropic, Google)
• Meeting capture and transcription (Recall.ai)
• Spam and abuse protection on our web forms (Google reCAPTCHA)
• Website analytics (Plausible)
